Reservation Information


Reserving a space at the ARCA/Williams Hamfest & Convention is now easier than ever. You can download the forms from this page and mail in your request, or you can reserve a spot on-line. All spaces must be paid in full before the space will be reserved.

Personal or Commercial?

Any person buying or manufacturing items (that includes items made by you at your home) with the intention of selling these items is classified as a business by the State of Arizona, regardless if you are selling from an inside booth or your tailgate.  Reserve a Commercial space. If you are selling used items from your own personal shack, a personal space may be reserved.


IMPORTANT NOTICE TO ALL COMMERCIAL VENDORS

The City of Williams and State of Arizona require all Commercial Vendors doing business in Arizona to have, and display, a copy of their business license/resale certificate, this includes vendors from out of state.  The City of Williams also requires all Commercial Vendors to have a City Vendors Permit. You will be required to supply your Arizona Tax Privilege License number before space is assigned.


IMPORTANT NOTICE TO ALL VENDORS/TAILGATERS

No food sales are permitted on hamfest grounds without prior written approval and necessary city/state/county health permits.  This includes, but is not limited to, canned sodas and baked goods.


How do I reserve a space?

Please note -- On-Line Reservations only work with on-line payment through PayPal. If you prefer to mail a check, be sure to click on the appropriate downloadable form.

1.  Read the Rules & Regs. It contains important information about the event, space sizes and locations, and guidelines. Submission of your reservation form denotes your acceptance and agreement to abide by all guidelines and rules of ARCA and the City of Williams.

2.  Review the grounds map. Choose a space that best suits your needs. Large blocks on map are approximately 20' wide by 40' deep (all of "Area B" and some of "Area A.") Small blocks on map in "Area A" are approximately 15' wide by 25' deep.

3.  Choose the method of reservation you prefer - on-line or download (print) to mail.

4.  Choose the form that corresponds to your activity - Personal or Commercial. (Note: Camping only can be reserved on either form.)

5.  Complete the form and mail the printed form with payment to the address on the form. With on-line forms, submit the form. An invoice will be sent through PayPal confirming receipt of your request and requesting payment. If you do not have a PayPal account, an email will be sent with instructions for accessing the invoice and paying the amount due.

NOTE:  You do not need a PayPal account.  Major credit cards are accepted through the PayPal site.
If you do not wish to pay through the PayPal site, please download the form(s).

Space will not be reserved until payment is received. Be sure to keep a copy of your form and any e-mail communication you receive. Bring these with you to the event.

6. Gate passes for the event will be mailed in June. Place your gate pass in your windshield when you arrive for access to the grounds.

NOTE:  The Shipping and Handling Fee is NOT optional - it is required.
